I. OBJECTIVE
1. To provide guidelines on the dispatching policies and procedures
II. DEFINITION OF TERMS
1. Pick List – a list prepared by the Warehouse Assistant that includes all the items to be released for delivery
III. GENERAL POLICIES
Dispatching Time: 7am to 9am
Pick List must be available during Pick Activity. After gathering all the items needed for delivery, Order Taker must prepare the Warehouse Issuance Slip (WIS) for each set.
Pick List and Warehouse Issuance Slip (WIS) must be present during dispatching. Order Taker must also make sure to the Warehouse Man that the items needed for delivery are complete. WIS shall be checked by the Driver while Pick List will be checked by the Dispatcher.
Driver must count and check the expiration date of each item loaded in the van. Guard shall stand as witness during dispatching and must observe the dispatching the whole time.
Driver must countercheck all items loaded in the van and countersign in the Pick List. Guard must also countersign it, signifying that the counterchecking is done.
Dispatcher shall note the WIS based on the Pick List. Dispatcher and Order Taker shall check its delivery destination.
Guard shall record the mileage of the delivery van, number of boxes, crates, ice box, tanks, etc. in the Itinerary Form and Outgoing Logbook. Dispatcher shall record in the Itinerary Form the delivery destination.
Guard shall stamp the WIS with ‘Cleared to go”, signifying that the Driver may leave to deliver the products and items to outlet.
Notes:
• Any discrepancies between the stocks leaving the warehouse and the stocks received by the outlet shall then be accounted to the Driver.
• No approved WIS, no out or release of products.
