I. OBJECTIVE
1. To provide guidelines on keeping the security of the outlet
II. DEFINITION OF TERMS
1. Cash Box – a metal box attached in the cart; this is where the morning shift gets the cash fund during opening and where the cash fund must be placed back when the Service Crew has enough to cover already.
2. Cash Fund – a fixed amount of money issued to all outlets for the purpose of customer change. It must be kept in smaller bills for better use.
3. Dropping of Sales – the act of literally dropping of sales inside the DSR box; it is done by the closing shifter/s as part of the closing procedure.
4. DSR Box – another metal box attached in the cart; this is where the Service Crew drops all the P1000 bill and excess P500 bill for safekeeping. This is also where the closing shifter/s drops the sales for the day as well as the set of Daily Sales Report forms to be forwarded to the Head Office the next day.
III. GENERAL POLICIES
During the morning shift, the Service Crew must monitor the amount of money in the cash drawer. Once it has enough amount of money to cover the cash fund and to be set for customer change purposes, the Service Crew must set aside the amount for cash fund and safe keep it inside the cash box. Safekeeping of cash fund must be recorded with a witness to countersign.
Turnover of keys must be properly endorsed between Service Crews. It must also be recorded and both parties must countersign.
The cash drawer is only allowed to contain up to two (2) P500 bill. All P1000-bill and excess P500-bill must be set aside, put in an ice plastic bag and safe keep inside the DSR box. A piece of paper must be included in the dropping and is labeled with the date and time the money is dropped in the DSR box.
During the closing procedure, dropping of sales must be observed properly. The service crew must make sure that the sales are properly dropped inside the DSR box. One way of telling whether it is properly dropped is by placing a finger through the hole and trying to catch the dropped sales. If the finger can still catch and hold the dropped sales, it means that it is not properly dropped as anyone could still get the sales through the hole. Dropping of sales must also be recorded with a witness to countersign.
No one is allowed to borrow or use the cash fund in any other way aside from its original purpose. Only the CEO can approve the pulling-out of cash from the outlet.
