I. OBJECTIVE
1. To provide transportation subsidy for the employee’s irregular assignment to other location
II. DEFINITION OF TERMS
1. Transportation/Relocation Reimbursement Policy (TRRP) – is a means of the company to normalize an employee’s transportation expenses that incurred significant change in amount due to temporary assignment from his/her original outlet to another
III. GENERAL POLICIES
Transportation/Relocation Reimbursement Policy (TRRP) is applicable for field workers namely: Supervisor, Team Leader and Audit Personnel. They must report to the head office before their roving schedule. Point of reference (house to office) will be the basis for their transportation computation. It will be computed daily.
Formula: Reimbursement = DC – PR
Example A:
Juana is a Supervisor and she’s residing at Lagro Fairview. Her roving schedule will be North Edsa, MCU, Megamall, 168, and Salamin. She directly reported to the head office before the roving schedule. Computation is as follows:
1. Point of Reference (PR): “House to Office” versus “Standard Minimum PR*”
House to Office – Php 46.00 (back and forth)
Standard Minimum PR – Php 16.00 (equivalent to 1 ride B/F)
*Note: Standard Minimum PR may change based on the minimum fare.
2. Get the higher amount between the two: P46.00 vs. P16.00. The higher amount (P46.00) will be the PR.
3. Distance Cost (DC):
Head Office – North Edsa – P18.00
North Edsa – MCU – P12.00
MCU – 168 – P13.00
168 – Salamin – P30.00
Salamin – Megamall – P25.00
Megamall – Lagro Fairview (House) – P25.00
Total Distance Cost = P123.00
4. Computation: Use the formula as stated above.
Distance Cost (DC) = P123.00
Point of Reference (PR) = P46.00 (Get the half, P23.00)
P123.00 (DC) – P23.00 (PR) = P 100.00
Therefore, total reimbursement will be P100.00.
Example B:
If Juana directly reported to her roving schedule due to some significant reason, computation is as follows:
1. Point of Reference (PR): P46.00
2. Distance Cost (DC):
Lagro Fairview – North Edsa – P28.00
North Edsa – MCU – P12.00
MCU – 168 – P13.00
168 – Salamin – P30.00
Salamin – Megamall – P25.00
Megamall – Lagro Fairview (House) – P25.00
Total Distance Cost = P133.00
3. Computation: Use the formula as stated above.
Distance Cost (DC) = P133.00
Point of Reference (PR) = P46.00 (Full amount)
P133.00 (DC) – P46.00 (PR) = P 87.00
Therefore, total reimbursement will be P87.00.
Note: Field worker who is residing near the office (walking distance), the minimum PR shall be applied as his/her Point of Reference.
TRRP is also applicable for Service Crews who are relocated to other store/outlet from its original assigned outlet due to significant reason and the relocation expenses are more than the existing expenses. The only authorized person to relocate SC will be the Operations Head. Point of Reference (house to original outlet) will be the basis for their transportation computation. It will be computed daily.
Since TRRP is applicable for temporary assignment scenarios only, there is a maximum of two months and a minimum of one month period per outlet per crew.
If SC is temporarily assigned to other outlet for 2-29 days, transportation allowance is subject for approval with the same relocation policy.
Example C:
Juan is a Service Crew of North Edsa Branch and he’s residing at Commonwealth. Suddenly, he was relocated at MOA Branch due to some significant reason.
1. Point of Reference (PR): “House to Office” versus “Standard Minimum PR*”
House to Office – Php 36.00 (back and forth)
Standard Minimum PR – Php 16.00 (equivalent to 1 ride B/F)
*Note: Standard Minimum PR may change based on the minimum fare.
2. Get the higher amount between the two: P36.00 vs. P16.00. The higher amount (P36.00) will be the PR.
3. Distance Cost (DC):
Commonwealth (House) – MOA (Temporary Outlet) – P50.00
MOA – Commonwealth – P45.00
Total Distance Cost = P95.00
Note: Cost of transportation of “going to outlet” and “going home” may not be the same.
4. Computation: Use the formula as stated above.
Distance Cost (DC) = P95.00
Point of Reference (PR) = P36.00 (Full amount)
P95.00 (DC) – P36.00 (PR) = P 59.00
Therefore, total reimbursement will be P59.00.
Note: All transportation cost will be based on the public transportation fare.
