I. OBJECTIVE

1. To provide guidelines in making amendments for the manual

 
II. DEFINITION OF TERMS

1. Amendment – refers to the revision, addition or deletion of a document.

 
III. GENERAL POLICIES

Every manual is subject to review and revision, whenever necessary, to determine the consistency and effectiveness of the policies and procedures to the operation of each department. Should there be any changes in the system; amendment must be made according to the established document control procedure.

Users of the manual may propose amendment, as necessary. The amendment may be in the form of addition, revision or deletion of the current policies and procedures.

Each and every employee is encouraged to share their ideas in improving their respective department’s policies and procedures by adding or introducing a new method or approach.

To create the amendment, the employee must accomplish an Amendment Form and submit it to the Restaurant System Staff. The amendment shall be upon the approval of the CEO.

Restaurant System Staff shall inform the creator of the amendment whether it is approved or not. If approved, the amendment shall find its place in the system website. If not approved, remarks and recommendations shall be given if applicable.

Rejected amendments shall be filed and kept by the Restaurant System Staff. Each must be available for future discussion, when changes occur and the amendment became possible.

 
Amendment Form Guidelines:
a) Type of Amendment
• Addition – refers to the proposal of new policy or procedures
• Revision – refers to the proposal of policy or procedures modification
• Deletion – refers to the proposal of policy or procedures deletion

b) Reason for Amendment
• System Improvement – due to improved structure
• Change/s in Environment – due to internal and/or external changes in the environment of the department
• Ineffectiveness – due to policy or procedures’ uselessness to the department
• Inconsistency – due to policy or procedures’ irregularity with other department’s policy or procedures

c) Document to Amend – refers to the title of the document that one wants to add, revise or delete

d) Objective – refers to the purpose of the amendment

e) Attachments
• Definition of Terms – refers to terminologies used in the policy or procedures that are uncommon or unfamiliar and/or specifically used for a certain purpose
• Flowchart – refers to a diagram that serves as supplement to the policy, especially to procedures
• Forms and Records – refers to the forms and records that are related or has direct relation to the policy or procedures
• None – if none of the above items are applicable in the document
